How to Find and Replace Words in Google Sheets
SHARE THIS Article
Use Find (Ctrl + F / ⌘ + F) to jump to matching cells, and Find and replace (Ctrl + H / ⌘ + Shift + H) when you need to change text across a range, sheet, or entire workbook. Finance teams use this to rename account labels, fix entity codes, or clean pasted exports before close.
When find and replace shows up in FP&A work
Shared models collect typos, old cost-center names, and vendor spellings from CSV dumps. Replace is faster than editing cell by cell, but Replace all on the wrong scope can rewrite formulas you meant to keep. Prefer a selected range first. If you are constantly re-cleaning exports, LiveFlow FP&A reduces paste churn by syncing books data into Sheets.
How to use Find
Press Ctrl + F (Windows) or ⌘ + F (Mac).
Type the word, number, or fragment to search.
Press Enter to highlight matches.
Use Enter again (or the up/down controls) to move between hits.
How to use Find and replace
Press Ctrl + H (Windows) or ⌘ + Shift + H (Mac), or go to Edit → Find and replace.
Enter the search text in Find.
Enter the new text in Replace with (leave blank to delete matches).
Set Search scope: All sheets, This sheet, or Selected range.
Optionally enable Match case, Match entire cell contents, Search using regular expressions, Also search within formulas, or Also search within links.
Click Find, Replace, or Replace all, then Done.
Scope choices
All sheets: whole workbook
This sheet: active tab only
Selected range: safest for close files
Options worth knowing
Match case: case-sensitive search
Match entire cell contents: exact cell match only
Search using regular expressions: pattern matching for power users
Also search within formulas / links: include formula text and hyperlinks
Use Replace (one at a time) when you are unsure. Use Replace all only after you have verified the scope.
How do I automatically replace text in Google Sheets?
Find and replace is a manual batch action, not a live rule. For formula-driven partial string changes inside a cell value, look at functions such as SUBSTITUTE or REPLACE in a helper column, then paste values back if needed.
Why is find and replace not working?
Wrong Search scope (selected range too narrow, or All sheets too broad)
Match case or Match entire cell contents filtering out near-matches
Need Also search within formulas or links checked
Protected cells block replacements
Filter views or grouped/collapsed rows hide matches on screen even when they are found
Extra spaces in cells or in your query
