How to Merge Cells in Google Sheets

Google Sheets lets you merge cells in three ways: Merge all, Merge horizontally, and Merge vertically. Merged cells can tidy a report title or section header. They can also break inserts, formula fills, and filters, so use them sparingly in live FP&A models.


A practical rule for finance sheets


Merge for presentation (report titles, section banners). Avoid merging inside data grids you still sort, filter, or extend with formulas. If you need a clean header above a live P&L from LiveFlow for Google Sheets, merge the title row only and leave the account and amount columns unmerged.


How to merge cells in Google Sheets


With the Format menu shortcut sequence


There is no single dedicated merge hotkey, but you can open the merge menu quickly:

  1. Select the cells to merge.

  2. Press Alt + O, then M (Windows) or Control + Option + O, then M (Mac).

  3. Choose Merge all, Merge horizontally, Merge vertically, or Unmerge. Available options depend on the selection.

From the toolbar or Format menu


  1. Select the cells to merge.

  2. Click the Merge cells icon on the toolbar (or open the merge-type dropdown next to it), or go to Format → Merge cells and pick the merge type.

  3. Confirm the merge.


What to consider before you merge


  • Only the top-left value is kept. Other values in the selection are discarded. Copy anything you need elsewhere first.

  • Paste behavior. Copying a merged cell reproduces the merge. To paste only the value, use Paste values only (or Paste as text).

  • Inserting rows or columns. If merged cells span the boundary where you want to insert, Sheets may block the insert. Unmerge, insert, then re-merge if needed.

  • Filling formulas. A merge across columns can stop a clean vertical fill. Unmerge data cells before dragging formulas down a P&L or forecast.

  • Timing. Merge late, after the data layout is stable, especially on templates that still change during close.


How to unmerge cells


  1. Select the merged cell.

  2. Click the Merge cells control and choose Unmerge, or go to Format → Merge cells → Unmerge.


Why can I not merge cells in Google Sheets?


Protected or locked ranges often block merges. Remove sheet or range protection for those cells (or ask the owner), then try again.
